Entry to a Client Site with the Emergency One Time Pass

Quick Tips

  • An Emergency One Time Pass can be used by a Worker, as well as an Administrator, in emergency situations only.

    - A Worker is defined as an employee of a business who may require access to a client site in order to carry out work.
    - An Administrator is an authorised person of a business (or the business owner) who, in addition to requiring access to a client site, manages their business's compliance and staff.
  • If the client's site displays an iPRO QR Code poster with a Not Registered? option, and it is an emergency that the worker gain access to the client site, then the worker can use an Emergency One Time Pass
  • An Emergency One Time Pass can only be used once by a worker (or administrator).  Future access attempts will be denied, until the worker's employer completes their iPRO registration.

Entry to a Client Site with the Emergency One Time Pass

The use of the Emergency One Time Pass is exactly that. It is for emergencies only. It is not to be used for day to day worker registration. Under normal circumstances, workers must be pre-registered and be compliant, prior to attending the client site.
If the Emergency One Time Pass is to be used, please refer to the steps in this guide, or contact your company administrator for assistance.
(Due to OHS legal requirements, iPRO are not able to issue you with an Emergency One Time Pass, this must be done by your own company administrator).

Using an Emergency One Time Pass

In an emergency, a worker (or an administrator) that is unregistered in iPRO can use an Emergency One Time Pass to check-in onsite for the current visit only. Future attempts to access the client site will be denied until the worker's employer completes their iPRO registration.

1. Locate the One Time Pass URL

The worker (or administrator) will locate the iPRO QR Code Poster, and find the unique URL displayed towards the bottom of the poster. It will appear under Not Registered?  

2. Create an Account

The worker will open a web browser on their mobile phone or tablet (e.g. Chrome, Internet Explorer, Google, Safari), and type in the unique URL (e.g. pass.ipro.net/XXXX) displayed at the bottom of the iPRO poster.
The worker will create their iPRO account by entering their first name, last name, email address, and setting a password (minimum 6 characters). Upon completion, click the CREATE ACCOUNT button.  

Note: the worker may read iPRO's Privacy Policy and/or terms and conditions by clicking on the respective hyperlink.

Select Position held in the Business:
The worker will select the position held in the business by clicking the Worker option. 
Note: if the worker is also the Owner (or an authorised person) of the business, the  Administrator option should be selected.

The worker (or administrator) will continue the process by clicking the  NEXT button.

Complete Profile:
The worker (or administrator) will complete their profile by entering their details in the fields provided. Upon completion, click the SAVE PROFILE button.

3. Find Employer & Request Approval / Find & Claim Business

The worker will find their employer by entering the trading name of the business, or they can click  Enter manually to refine the search by entering additional details about the business. The employer's business will appear if it is registered in iPRO. 

Note: The administrator will find and claim their business by following the above process.


If the employer/business is found:
If the business is found, the worker will click on the business, and then click the CONFIRM EMPLOYER button.
The worker will then click on REQUEST ACCESS to request approval to join the iPRO account as a worker.
An email will be sent to the account administrator notifying them of the worker's request for access. The administrator will either accept or decline the request. Accepting the request will add the worker to the employer's account and will allow future access to the client site (provided the worker is compliant); declining the request will prevent future access.

If the worker inadvertently sends an access request to the Client instead of the employer's business, it will be declined.

Note: The administrator will click on CLAIM BUSINESS button, and then click on REQUEST ACCESS button to request approval to join the iPRO account as an administrator and a worker. The requestor will receive a verification email on the registered email address.  After successful verification, an email will be sent to the account's existing administrator notifying them of the access request. The business administrator will either accept or decline the request. Accepting the request will add the requestor as a worker and administrator to the employer's account and will allow future access to the client site (provided the worker is compliant); declining the request will prevent the future access.


If the business is not found:
If the business is not found, it means it is not registered in iPRO. Therefore, the worker will click on Yes, I'm sure none of these is my employer. Continue with a new business. and then click on NEXT button to continue. 


The worker will then invite the employer to register in iPRO by entering the employer's email address (i.e. an administrator or delegated representative's email address), and then click the SEND INVITATION button.

Note: The administrator will create a new business profile.  An email will be automatically sent as a reminder to complete the new iPRO registration for the business at a later time, with a link to Accept Invitation.  Accepting the invitation will initiate the process of registering the business.


4. Complete Pre-Assessment & Induction

The worker (or administrator) will be prompted to complete the pre-assessment by answering the questions presented to them. 

Note: If this requirement is not applicable for the client location, pre-assessment questionnaire will not appear, redirecting the worker (or administrator) to complete an induction.

The worker (or administrator) will complete the induction when prompted.

Upon successful completion of the pre-assessment (if applicable) and the induction, a One Time Pass will be awarded, with a prompt to download the iPRO Access mobile app to the worker's mobile or tablet device.

5. Download iPRO Access App

The worker (or administrator) will download the iPRO Access mobile app from either the Google Play store (if using an Android phone) or the App Store (if using an iPhone/iPad). Upon successful installation, the worker (or administrator) will open the app and log in by entering the registered email address as the username and will enter the password created earlier. Allow access to device's camera when prompted.

Scan the QR code on the iPRO poster, and Check-in.
